Job Description

The Property Management Administrative Assistant provides essential clerical and organizational support to the team managing Central Heavenly Corporation’s vast portfolio of commercial and residential properties. You will be the central hub for tenant correspondence, maintenance work orders, vendor contracts, and billing documentation. This role demands excellent organizational skills and a systematic approach to detailed administrative tasks crucial for efficient property operations.

Key Responsibilities:

  • Tenant Communication: Manage and log incoming tenant inquiries, complaints, and maintenance requests via phone and email, ensuring accurate recording and timely follow-up.

  • Work Order Processing: Create, track, and close out maintenance work orders, coordinating schedules between tenants and the facilities management team.

  • Documentation & Filing: Maintain physical and electronic files for all leases, vendor contracts, financial records, and regulatory permits, ensuring all documents are current and secure.

  • Accounts Support: Assist in preparing invoices, tracking rent payments, and reconciling petty cash for the property office.

  • General Administration: Handle typical office duties, including scheduling meetings, ordering supplies, and preparing correspondence for the Property Manager.

Job Requirements

  • Educational Background: At least a High School Graduate or equivalent is required. A college degree in Office Administration, Property Management, or a related field is a plus.

  • Experience: 1-2 years of experience in office administration, clerical support, or a property management setting.

  • Technical Proficiency: Proficient in Microsoft Office Suite (Word and Excel) and capable of quickly learning property management software (e.g., Yardi, AppFolio) and ticketing systems.

  • Soft Skills: Superior organizational ability, high attention to detail, strong data entry accuracy, and a customer-focused attitude for tenant interactions.

  • Work Setup Readiness: Must work on-site at the Taguig property office to manage physical documentation, receive tenant visits, and utilize dedicated systems.
