Key Responsibilities:
Tenant Communication: Manage and log incoming tenant inquiries, complaints, and maintenance requests via phone and email, ensuring accurate recording and timely follow-up.
Work Order Processing: Create, track, and close out maintenance work orders, coordinating schedules between tenants and the facilities management team.
Documentation & Filing: Maintain physical and electronic files for all leases, vendor contracts, financial records, and regulatory permits, ensuring all documents are current and secure.
Accounts Support: Assist in preparing invoices, tracking rent payments, and reconciling petty cash for the property office.
- General Administration: Handle typical office duties, including scheduling meetings, ordering supplies, and preparing correspondence for the Property Manager.
Job Requirements
Educational Background: At least a High School Graduate or equivalent is required. A college degree in Office Administration, Property Management, or a related field is a plus.
Experience: 1-2 years of experience in office administration, clerical support, or a property management setting.
Technical Proficiency: Proficient in Microsoft Office Suite (Word and Excel) and capable of quickly learning property management software (e.g., Yardi, AppFolio) and ticketing systems.
Soft Skills: Superior organizational ability, high attention to detail, strong data entry accuracy, and a customer-focused attitude for tenant interactions.
- Work Setup Readiness: Must work on-site at the Taguig property office to manage physical documentation, receive tenant visits, and utilize dedicated systems.
