Key Responsibilities:
Document Management System (DMS): Operate and maintain the electronic and hard-copy filing system for all project-related documents, ensuring easy retrieval and security.
Drawing Control: Manage the lifecycle of all construction drawings (revisions, approvals, and distribution) using standard naming and version control protocols.
Transmittal Processing: Prepare, send, and track transmittals, submittals, Requests for Information (RFIs), and engineering change orders (ECOs) to relevant internal and external stakeholders.
Auditing: Conduct regular internal audits of documentation to ensure all parties are compliant with corporate and regulatory standards.
Reporting: Generate reports on document status, control, and accessibility for the Project Manager.
Job Requirements
Educational Background: Bachelor's Degree in Office Administration, Library Science, Civil Engineering (non-board passers), or a related field.
Experience: 1-3 years of experience in document control, records management, or administration, preferably within the construction, engineering, or architecture industries.
Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel) and experience using Electronic Document Management Systems (EDMS) or document control software. Familiarity with basic CAD viewing software is a plus.
Soft Skills: Exceptional attention to detail, strong organizational skills, and the ability to work systematically under tight deadlines.
Work Setup Readiness: Must be willing to work primarily on-site in a project site office (which will be a controlled, accessible office environment) to directly manage physical documents and interact with site engineers.
